Clear answers for Melbourne landlords

Whether you’re thinking about switching property managers or renting out a property for the first time, this page covers the questions we hear most often.

If you’d rather talk it through, book a call and we’ll point you in the right direction.

Getting started

Start with a free rental assessment. We’ll review your property, talk through your goals, assess the current market and give you a clear view of what your property could rent for and what the next steps would look like.

We look at comparable listings, recent leasing results, property condition, location and current demand. Then we give you a rental recommendation with the reasoning behind it, so you can make a clear decision rather than guess.

Once you appoint us, we’ll help you get the property ready for market, organise the campaign, manage enquiries and inspections, and guide you through each next step. You’ll know what’s happening, what we recommend and what needs your approval.

Strong communication matters, but good property management is really about protecting your investment and staying ahead of problems. We use proven processes, experienced property managers and the right technology to keep service consistent, act early on maintenance and risk issues, and deliver better outcomes over the long term.Yes. Changing managers is a normal handover process and usually doesn’t interrupt the tenancy, lease or rent payments when it’s handled properly.

Switching to Area Specialist Dynamic

Yes. Changing managers is a normal handover process and usually doesn’t interrupt the tenancy, lease or rent payments when it’s handled properly.

Start with a free switching assessment. Once you appoint us, we handle the handover, request the file, collect the keys and set everything up in our systems. You don’t have to manage the back and forth yourself.

Not in any major way. They stay in the property under the existing agreement and are simply told who their new property manager is, how to make payments and where to direct maintenance or lease questions.

In most cases, the handover is completed within five business days. Timing can vary depending on key collection, file transfer and how quickly the outgoing agency releases the records.

Not in the short term. We confirm payment details and disbursement setup as part of the handover so income can continue without interruption, then we get to work on improving performance where needed.

Fees, payments and owner access

Our service covers leasing, renter selection, routine inspections, rent collection, maintenance coordination, lease renewals, market reviews, compliance support, statements and dispute support where needed.

Fees depend on the property and the level of service needed, so we confirm them after we understand your setup. We’ll explain the fees clearly before you make any decision.

Disbursements are processed once rental funds clear, or immediately if the renter has paid through Kolmeo. Direct debit also helps us spot arrears earlier and stay on top of them.

We use Kolmeo so owners and renters can access important information from any device without needing to download an app. Owners can view payments, lease details, monthly statements and EOFY statements, while renters can make payments and raise maintenance requests.

Your property manager is usually the best first point of contact. Their details are available in Kolmeo, and if you’re not sure who to speak to, our head office can point you in the right direction.

Leasing and renter management

We market the property, manage enquiries, run inspections and assess applications carefully. That includes checking rental history, employment, income and references before we give you a clear recommendation.

We lease properties 10 days faster than the industry average. Leasing time can depend on price, location, property condition, season and demand. Our approach is designed to build enquiry early, reduce vacancy and secure the right renter without overreaching on price.

Yes, where the circumstances allow. In Victoria, renters usually give 28 days’ notice, and we use that lead time carefully so advertising and inspections can help reduce the gap between leases.

We usually aim for a 12-month lease, but the right term depends on your goals, the renter and the time of year the lease will end. Sometimes a different lease length can put the next renewal in a stronger market period.

As involved as you want to be. We’ll always come to you with important approvals and recommendations, but the day-to-day management, communication and follow-up sit with us.

Inspections, maintenance and compliance

We complete condition reports thoroughly, using 360 degree camera support to record the property’s condition in detail. Exit inspections are completed within three business days of the renter moving out, with bond claim timeframes in mind so any issues can be identified and acted on promptly in the landlord’s best interests.

Routine inspections can legally be carried out three months after a new renter moves in, then every six months after that. We follow that schedule to check the property’s condition, pick up maintenance issues early and report clearly on anything that needs attention.

Renters can raise maintenance requests through Kolmeo. We review the issue, arrange quotes where needed and seek approval before non-urgent work goes ahead. For urgent repairs, we have clear instructions and systems in place so works can be actioned quickly in line with legal requirements and your instructions.

Yes. Renters can raise maintenance requests through Kolmeo and track updates from their property manager, which keeps communication and records in one place.

We try to resolve issues early through clear communication and proper records. If a matter needs to go further, we can support dispute resolution and represent landlords at VCAT where required.

If one renter wants to move out and another person wants to take their place, we manage that as a renter transfer. The proposed new renter still needs to apply, be properly checked and be approved by the owner before the lease is updated.
